The Cincinnati Art Museum has an immediate opening for a full-time associate registrar, loans, and exhibitions in the Registration Department of the Museum Services Division.
Responsibilities: Working under the direction of the chief registrar, the associate registrar for loans and exhibitions is primarily responsible for coordinating the loans for the Art Museum's permanent collection and assisting registrar with the coordination of outgoing/incoming exhibitions. Duties include, but are not limited, to the following:
- Preparing all paperwork and processing loans in accordance with policy
- Determining and invoicing loan fees, as well as preparing loan fee cost sheets
- Preparing loan histories and past experience with borrowers
- Preparing loan agreements and receipts
- Determining special handling and/or crating requirements in consultation with the registrar, Conservation department, and chief preparator
- Reviewing all facilities reports for loan venues
- Making recommendations to approve/decline outgoing loans based upon history with venues, object history/condition, schedule, etc.
- Determining shipping method and schedule for loans
- Preparing work orders for removal of art packing and crating
- Negotiating loan agreements with borrower
- Supervising packing
- Monitoring removal and shipping of loan from Cincinnati Art Museum; supervising air freight shipment as needed
- Supervising return shipment and unpacking of objects
- Recording any problems with borrower
- Maintaining past loan histories
- Coordinating shipments for loans from the permanent collection, as well as making courier arrangements (travel, hotel, per diem) as necessary
- Processing requests from curators for loans to the permanent collection
- Contacting lender and negotiating loan contract
- Arranging shipment of incoming/return loans
- Supervising all movement of loaned objects
- Maintaining loan files, as well as updating/renegotiating contracts
- Assisting in handling shipping arrangements for exhibitions
- Handling insurance arrangements
- Determining preliminary budgets for shipping and crating
- Supervising unpacking and packing
- Maintaining exhibition files and generating department card documentation, as well as loan cards and lender cards
- Receiving shipments to and from the Art Museum for exhibition or loan, purchase, bequest, or gift consideration
- Creating receipt of all art objects entering and leaving the Art Museum
- Prepare condition reports on art objects entering and leaving the Art Museum, including those for temporary exhibition and loans from the permanent collection.
- Supervising and assisting the packing and unpacking of art objects and exhibitions
- Labeling, painting, or engraving identification numbers on accessions and loans.
- Preparing work orders for removal of art objects, as well as packing and crating for objects other than loans.
- Serving as courier for domestic and international shipments.
- Preparing budgets, as well as organizing shipping, crating and insurance for temporary exhibitions as assigned.
- Assisting in periodic total collection inventory
- Assisting in the departmental management of the collection database.
- Assist in storage move, cleaning, and relocation projects.
- Assigning storage space to collection and loan objects.
- Preparing monthly loan list for review by Board of Trustees.
- Preparing loan list for annual reports.
- Assisting in long-range planning of departmental operation.
- Answering general collection inquiries from the staff and public.
- Supervising departmental activities and personnel, in absence of chief registrar.
- Supervising assistant registrar, registration assistant, and departmental volunteers
Requirements: Bachelor's degree in Art History with 3 years experience in museum registration with a focus in exhibitions and loans. Previous experience in organizing an exhibition is a plus. Candidate must be willing and able to travel.
The following skills are necessary for this position:
- Knowledge of accepted museum registration practices, as well as art handling and preventative conservation methods.
- Knowledge of art-related U.S. customs issues and cultural import/export restrictions.
- Knowledge of risk management and fine art insurance practices and standards
- Knowledge of museum accepted shipping, packing, and crating methods.
- Experience with international courier traveling with loans and exhibitions.
- Ability to read, analyze, and interpret the most complex documents, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, procedure manuals, contracts and create budgets.
- Ability to effectively present information and respond to questions from groups of managers, personnel, clients, customers, and the general public.
In addition, candidate must possess strong organizational skills, be detail-oriented, and skilled in negotiation and resolution of non-routine problems.
